Mount Farm Surgery is a dynamic, forward-thinking GP practice in Moreton Hall, Bury St Edmunds. Focused on delivering the best possible patient service we are seeking an enthusiastic, flexible new team-member to join our admin team.
The successful applicant will have excellent communication skills, with a patient-focussed attitude. We are looking for a quick learner with good IT skills and excellent attention to detail. Joining an established team of 3 others, as part of a wider team, a helpful and friendly manner is essential, with the ability to work well with others.
We are looking for a flexible new member of the team who will be able to help with holiday and sickness cover.
Due to the expansion of the team we have 2 positions available.Both positions are 20 hours per week.Plus the availability to work occasional Saturday mornings on a rota basis and overtime will also be available.
Position 1- 20 hours per week, working the following shift pattern:
Tuesday: 8:30am-5:00pmWednesday: 8:30am-1:30pmFriday: 8:30am-5:00pm
Position 2- 20 hours per week, working the following shift pattern:
Monday: 8:30am-5:00pmWednesday: 12:00-5:00pmThursday: 8:30am-5:00pm
Please be aware that there is no flexibility regarding the shift patterns above.
Please can you state whether you are interested in Position 1, 2 or both positions.
Short telephone interviews will be held on Monday 5th February, with face-to-face interviews on Monday 12th February.
Main duties of the job
This is an essential front-line role at the practice, providing an efficient, comprehensive administrative and secretarial support service to the practice management team. The main responsibilities of the role include:
- Processing all incoming and outgoing post and dealing with it appropriately
- Answering incoming phone calls to Admin and responding accordingly
- Processing all scanning in a timely manner
- Processing patient requests and queries
- Booking various recall appointments e.g. annual review appointments
- Processing all registrations in a timely manner and ensuring that they are kept up to date
- Regularly checking emails and replying as necessary
- Assist patients, doctors and hospital staff with administrative/secretarial enquiries on the telephone
- Word process all GP correspondence both via digital dictation and composing appropriate letters
- Completion and submission of referral forms
- Participate in staff meetings
- General secretarial duties
