Job summary
An exciting opportunity has arisen for a self-motivated individual
to join our Appointments Team. This role will be primarily based at our Great Horton surgery but will
require travel to our other sites.

Main duties of the job
The primary focus of the role is to provide high
quality rota administrative support, being a first point of contact for rota queries within the team and working alongside the Care Navigation team to provide advice and support around access management for the practice.
The successful candidate will be required to work 37.5 hours per week, Monday to Friday between 08:00 - 16:00.

Job responsibilities
- To work as part of the Primary Health Care team providing high quality and efficient services.
- Using Microsoft excel to create weekly rotas for Doctors, Registrars, Nurse Practitioners, Physician Associates
- Using Microsoft excel to create weekly room rotas for ALL sites
- Adding clinics to SystmOne weekly, monthly, and yearly (preferably 4 weeks in advance)
- Adding room numbers to templates on SystmOne weekly (including Derm HUB, MSK HUB and informing Epilepsy Team of their allocations)
- E-mail out the Rota weekly to all clinicians on a Friday once all checks have been done, plus print copies to be shared around the practice
- Assist Nursing team managers with the Nurses/HCA templates across the year when required
- Manage the clinical teams Rotas and Appointments to effectively support the smooth day-to-day operation of the organisation.
- Actively manage the daily demand during the day, including managing urgent extras and emergency appointments whilst working alongside the Care Navigation Team.
- Assigning Home visits to all relevant clinicians at the end of morning surgery.
- Balance the demand between surgeries and also facilitating equitable team work support between the clinicians.
- Upkeep of access procedures and protocols and navigation tools for Care Navigation team.
- Using Microsoft excel to record data for comparison and analysis
- Dealing with annual leave requests while taking into account rota needs, site cover etc
- Dealing with Absences for clinical staff and assist with moving the Rota around to make sure everything is covered
- Reporting absences for PCN Paramedics
- Dealing with absences for medical students and assist with cancelling their timetables and what they were due to do
- Creating timetables for students from Leeds University and Bradford University
- Inductions with ALL students
- Print Induction packs out ready for students
- Contacting patients to organise teaching sessions with students
- Organising teaching for students with other medical practices
- Liaising with different universities on placements for students
- Chase feedback for student end of placement meetings
- Creating Induction Timetables for ALL new GPR trainees (usually intakes are mainly February and August) and make sure everything is set up ready for them
- E-mail trainee absences to Post Grad Teams Bradford (Weekly) and Calderdale (Monthly)
- Action Locum/Payment fees and make sure Finance Team have these in time for being paid at the end of the month
- Action/create excel document ready for Finance Team each Academic Year so they know they are claiming/have claimed for correct amount of students
- Actioning a vast number of emails daily
- Dealing with queries, requests from staff
- Unlocking Smartcards for Medical Students
