Job summary

Our friendly, hard working team at Asplands and Woburn Surgeries aim high. Our Dispensary is a very busy but focussed environment and the role includes responding to prescription requests and answering queries from patients either on the telephone, in person or via the website. Training will be given to help understand the processes involved with patient medication requests. There is a great deal of patient contact and therefore a lot of opportunity for job satisfaction.

Dispensary: 5 hours per day Monday to Friday inclusive. This is a total of 25 hour.

Main duties of the job

The main duties include:

Speaking to patients and understanding their needs

Accessing web based systems to communicate with patients

Processing repeat medication requests

Speaking to patients and handing out dispensed medications

Maintaining accurate patient records and confidentiality

Job responsibilities

MAIN PURPOSE OF JOB:

a. Enquiries from patients are efficiently and courteously handled in a timely manner.

b. That patients are navigated to the most appropriate clinician or other healthcare services

c. That the flow of patients to and from doctors is smooth and efficient.

d. That the filing, record keeping and distribution of documents are undertaken efficiently and promptly.

e. That the surgery premises are kept tidy.

f. Ensure patient confidentiality at all times.

MAIN DUTIES:

1. Opening and closing the premises and preparing the surgery for the forthcoming day. This may be at the Woburn Sands or Woburn sites.

  • Receiving new patients and ensuring that their medical records are available to the doctor when they are seen by completing their registration.
  • Booking appointments for clinicians and any other clinics that are running. Also passing on messages to these personnel.
  • Answering general enquiries on the phone or at the desk.
  • Giving out results according to practice protocol.
  • Dealing with requests for home visits and printing report for the doctors.
  • Use of the computer and data entry as directed by Practice Manager.
  • Assisting with the completion of various forms as directed by the Practice Manager and Senior Receptionist.
  • Being available for in-house or external training as suggested by the Practice Manager.
  • Management of INR as directed by clinical staff..
  • Doctors’ tasks, dashboard, contact practice, ask reception, online requests, online consultations and online registrations to be checked every day, through the day.
  • Creating Systmonline registrations, solving password problems.
  • Supporting clinicians with contact with patients
  • Creating and managing waiting lists.
  • Following urgent protocols to welcome patients into the building.

  • Anything that is reasonably required to support the members of the team.
