Job Summary
We are looking for an administrator for our busy GP practice in Peacehaven to provide an efficient, timely and accurate administrative service in the Clinical Support Team.
The main focus of this role is that of covering the telephone calls for the Clinical Support Team, processing pathology results and processing hospital letters.
The work of the Clinical Support Team is entirely patient focussed supporting the clinical team to treat our patient population.
No previous experience is needed and all training will be given.

The purpose of the role is to
provide an efficient, timely and accurate administrative service in the
Clinical Support Team.
The
role may range from that of summarising patients records, to processing
hospital letters and discharges, the processing of Pathology results from the
hospital and telephone work in responding to patient queries.
Main duties of the job
- Monitor incoming paperwork & record accurately
- Identify & forward to clinical staff any necessary clinical needs
- Deal with patient records & correspondence, upload to clinical database & Read Code
- Maintain a knowledge of QoF, Enhanced Services etc
- Ensure scanned letters are securely stored & destroyed as per protocol
- Process Path Results received from hospital labs as per protocol & forward to clinicians as appropriate
- Liaise with leads of immunisation, smears & other areas
- Provide cover for roles within the Clinical Support Team
- Answer the telephone in a professional manner, deal with calls & take messages if needed
- Notes summarising - check paper notes & add to clinical system as per protocols
- Deal with Enquiries - both incoming & outgoing from other teams, staff, patients or other health professionals
- Maintain the security of the premises (keys,fobs,computers,equipment & property) as per protocol
- Report accidents / incidents on
surgery premises to the Practice Manager
- Offer flexible work hours between 8am and 6.30pm (Mon-Fri)
- Undertake training as needed
- Attend practice meetings as needed

About us
HavensHealth is a large friendly GP Practice in Peacehaven contained within a modern purpose built building and serves the local community.
There are over 80 members of staff to include GPs, ANPs, a Paramedic, Nurses, Healthcare Assisstants, a team of receptionists and an administration team. In addition we are a training practice and as such frequently have GP registrars and trainee nurses in attendance.
As part of the administration team you will be based on the top floor of the building with panoramic views across Peacehaven, the Downs and towards the sea.

JOB PURPOSE
To provide an efficient, timely and accurate administrative service in the Clinical Support Team.
The role may range from that of summarising patients records, to processing hospital letters and discharges, the processing of Pathology results from the hospital and telephone work in responding to patient queries. The main focus of this role is that of covering the telephone calls for the Clinical Support Team, processing pathology results and processing hospital letters.
This work ensures that the clinicians are provided with an accurate, easily accessible electronic summary of the patient's medical history.
The work of the Clinical Support Team is entirely patient focussed supporting the clinical team to treat our patient population.
Clinical knowledge and experience plus medical terminology is essential for this role.
KEY FUNCTIONS
- To monitor incoming patient related paperwork (workflow) and ensure it is recorded on the clinical system within the agreed timeframe this includes clinic letters, hospital letters, discharge summaries etc
- To flag up and forward on to relevant clinical staff, any necessary clinical needs according to protocol
- Dealing with patient healthcare records and correspondence, uploading medical information onto the clinical database (SystmOne) and adding Read Coded clinical data relating to the diagnoses and medical procedures for the patient population
- To maintain an up to date knowledge of QoF, Enhanced Service and other key clinical areas
- To ensure that scanned letters are appropriately stored and then destroyed according to protocol
- To process Pathology Results as received from the hospital labs according to protocol forwarding results on to the appropriate clinicians as necessary
- To liaise with the leads of immunisation, cervical smears and other specific clinical areas as appropriate
- To provide additional cover for all roles within the Clinical Support Team including Workflow, Results, Summarising, Telephone, Referrals, Private Reports etc
- To answer the telephone in a professional manner and deal appropriately with the call, taking messages where relevant
- Summarising backup - to check through the paper notes and record on the clinical system, according to protocol to ascertain key clinical information, allergies, diagnosis, treatments, medications, etc
- Dealing with Enquiries - dealing with incoming & outgoing enquiries from other teams, staff, patients or other health professionals as appropriate
- Security - maintain the security of the premises, keys, fobs, computers, other equipment and property according to protocol
- Accidents & Emergencies - report accidents and incidents on surgery premises to the Practice Manager, ensuring appropriate Incident Forms are completed by the relevant staff. Report any failures or procedures not followed correctly
