Job summary

Responsible for maintaining the master rota using Google Sheets and timetabling for all clinicians consulting from all Group sites. Responsible for maintaining all EMIS templates and associated information into the EMIS clinical system for regular clinics, external contracts and visiting clinicians.

The role holder will maintain and input new data into a rolling rota system using both Google Sheets and EMIS Web, and be responsible for all administrative amendments to the appointment system templates.

Main duties of the job

 Work with the Operations Manager regarding all aspects of rota management and maintain the electronic recording of all leave and absence for clinicians.

Provide information to appropriate staff based on the rota and appointment system and resolve or flag up issues regarding clashes and gaps as appropriate.

 Assist as needed with the development and ongoing planning of the rotas and associated templates.

 Respond to requests and issues in a professional and timely manner.

 Actively deal with queries and troubleshoot problems that may arise.

 Book additional medical staffing/locums based on the requirements of the Group and with authority and sign off from the Group Practice Manager; ensuring rooms are planned and available.

Ensure all clinical templates are added to the appointment planner in EMIS 1 to 3 months ahead on a rolling basis.

Liaise with the Operations Manager regarding changes which affect the cover rota for clinical documents and pathology results.

Monitor all clinicians leave allowances and highlight unused/carry over issues to the Operations Manager.
