Job summary

Are you patient, kind and hard-working and used to working in a high pressure environment? If this is you then we are seeking a highly motivated person to join our amazing team. We are consistently rated in the top 10 of GP practices in Bristol, North Somerset/South Glos.

If you cannot work under pressure or think a receptionist only sits with a cuppa this is not the job for you as we are very busy all of the time! But if you thrive on being busy, looking for work to do then come and join our supportive team!

PAY :£9.00 rising to £9.30/hr after successful probation

HOURS: Mon-Fri (Saturday working required in the future)

FULL TIME example shifts:

7am-4.30pm, 8am-4.30pm, 9am-5.30pm, 10am-6.30pm, 11am-7.30pm

PART TIME (20hrs+) example shifts:

8am-12noon, 2.30pm -6.30pm, 3.30pm-7.30pm

*Must be able to do minimum of 1 x 7.30pm finish on a rota basis (not currently during pandemic but will resume in the future approx 1 in 4)

*Must be able to do minimum of 2 x 6.30pm finishes per week

Main duties of the job

The successful applicant will be able to demonstrate they are hard working, flexible, reliable, kind and caring and able to work in a high pressure environment whilst going that extra mile - a fairly big ask but we know there are people with these skills as we already employ them! Please do not apply if you are not a patient person as when a person is poorly they need someone to listen patiently to them and understand them and provide what they can within the remit of their role. A sick person does not always present the best version of themselves so being compassionate and understanding is vital.

Job description

Job responsibilities

OUTLINE OF ROLE RESPONSIBILITIES

Fulfilling all general clerical and office procedures with particular reference to reception work and computer duties as well as a variety of allocated administration tasks paying attention to detail for accuracy of documentation

Providing a high standard of customer service including a warm welcome to all visitors to the practice reception desk

Maintaining strict confidentiality of patients records and clinically related matters at all times

You will be expected to help patients get the right care at the right time by routing them to the most appropriate clinician confidently and competently

Receiving and make telephone calls, making appointments, taking information requests from other professionals, Provide test results (where indicated by the GP) taking messages as appropriate i.e. requests for home visits.

Registering new patients, updating computer details as and when necessary, printing patient summaries

Processing the repeat prescription system using email where required

Dealing with incoming post and collecting appropriate monies on behalf of the doctors

Providing clerical support to other areas of the practice as and when required.

Opening and closing the health centre as required

Attending training and staff meetings as required

Main Duties and Responsibilities:

Reception:

To offer general assistance and carry out roles within reception

To be welcoming, calm and create a friendly environment when greeting and handling patient.

To offer general IT skills, guidance, report and record faults with IT systems.

To issue, match and sort prescription for the patients collection.

To open, sort and date stamp the post.

To scan documents onto the system.

To workflow and organise documents on Docman/Emis

To file, photocopy, laminate and email documents using the correct systems.

To organise, edit, discard and update any relevant documents.

To register patients and then process their files.

Admin:

To carry out general admin roles within the practice.

To produce and organise protocols and procedures for each practice department collectively where necessary

To understand and utilise the Practice computer system (Emis).

To have an understanding of IT

To monitor tasks on Emis and emails on the nhs.net practice account(s)

To carry out general photocopying.

To assist with the upkeep of documents throughout the practice and update if need be.

To perform any tasks that may be required at that time e.g. coding, creating letters etc.

To check the NHS Mail and organise any documents needed.

Arrange urgent outpatient appointments in liaison with hospital appointments.

Provide support to the medical secretaries as necessary
