Job summary

To ensure the Doctors are able to provide effective, efficient and caring service to the practice population. To help the practice provide an efficient administration service to the GPs, to manage, plan and prioritise tasks effectively to achieve and maintain a high standard of patient care.

Main duties of the job

The knowledge and skills we will be looking for will include:-

  • General education including Literacy and Numeracy
  • Good keyboard skills able to type accurately
  • Good IT skills, including email and word processing
  • Able to develop knowledge of a computerised medical system
  • Competent in the use of office equipment i.e. photocopier
  • Good verbal communication skills and fluency in spoken English
  • Understanding of Customer care and able to respond to patient enquiries and resolve issues relating to e.g. appointment systems/ times
  • Judgements involving facts or situations e.g. prescription queries, receiving and issuing prescription requests.
  • Exercise judgement when dealing with patient queries; analyse and resolve patient problems e.g. hospital queries
  • Communicate relevant information to patients, relatives with empathy and reassurance.
  • Good written communication skills, able to record and relay messages accurately

About us

The Practice has 3 GP Partners, 1 Nurse Practitioner, 1 Practice Nurse, Practice Manager and 8 part-time receptionists.

We are situated over 2 sites, Wenlock Road Surgery in Simonside, South Shields and a branch surgery based in Flagg Court Primary Care Centre, South Shields.

The Practice is a small friendly practice with a conscientious hard working team.

This Temporary post is to cover a maternity post/ sickness.

JOB TITLE: MEDICAL RECEPTIONIST/ADMINISTRATOR

REPORTS TO: PRACTICE MANAGER

HOURS: Part Time

Job Summary/Purpose:

The purpose of the role is to:

To ensure the Doctors are able to provide effective, efficient and caring service to the practice population. To help the practice provide an efficient administration service to the GPs, to manage, plan and prioritise tasks effectively to achieve and maintain a high standard of patient care.

To provide general administrative support to the practice team.

Duties and Responsibilities:

The duties and responsibilities to be undertaken by members of the Practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of Management, dependent on current and evolving Practice workload and staffing levels:

  • Opening up/locking-up of Practice premises and maintaining security in accordance with Practice protocols.

  • Maintaining and monitoring the Practice appointments system.

  • Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional.

  • Taking messages and passing on information.

  • Filing and retrieving paperwork.

  • Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures.

  • Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers.

  • Providing clerical assistance to Practice and Trust staff as required from time to time, including word/data processing, filing, photocopying and scanning.

  • Deal with any problems reported by other members of the health care team.

  • Keeping the reception area, notice-boards and leaflets dispensers tidy and free from obstructions and clutter.

  • Making effective use of training to update knowledge and skills.

  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.

  • Reporting potential risks identified.

  • To complete significant events and SIRMS.

  • Dealing with emergency calls, telephoning for ambulances, taking requests for urgent house calls and notifying the Doctor immediately.

  • Ensure patients record is kept up to date electronically, notifying the PCSA of all changes to the patients data.

  • Accurate data entry.

  • Appropriate use of in-house electronic practice notes, and email.

  • Process patient electronic requests through On-line Access for prescriptions, access to records.

  • Access other electronic systems that work within EMIS for example ICE, Accurx, E-referrals.

Personal/Professional Development:

The post-holder will participate in any training programme implemented by the Practice as part of this employment, such training to include:

  • Participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development.

  • Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work.

Quality:

The post-holder will strive to maintain quality within the Practice, and will:

  • Alert other team members to issues of quality and risk.
