Job summary

Business Support Administrator @ Hucclecote Surgery

37.5 hours per week ideally Monday to Friday 10.00am to 6.00pm

Ideal opportunity for anyone who currently works in a non-clinical role within primary care who wishes to become involved in the business administration of a busy surgery. This role will be a development opportunity for the right candidate and will work closely with the Practice Manager, Assistant Practice Manager and GP Partners.

The Business Support Administrator is ideal for anyone who loves data/IT and enjoys analysing reports to ensure targets are met. An understanding of QOF, enhanced services and operational procedures within a GP surgery is a must as this role needs a clear understanding of systems. SystmOne experience is required as ideally the candidate will hit the ground running. Training will be provided for development opportunities - we believe in home growing our staff.

Maintenance of Ardens, SystmOne templates, letetrs and pop-up alerts

Run relevant searches to ensure quality of data

Build and run Systmone reports

Provide admin support to the Practice Manager and Partners

We have a supportive and caring team which consists of 5 GP Partners, 3 Salaried GPs, 4 Practice Nurses, 2 HCAs, 1 Phlebotomist, 1 Practice manager, 1 Assistant Practice Manager, 2 Medical Secretaries, 3 Business Support Administrators and 9 Patient Advisors.

Be responsible for the management of Online Access; specifically further access requests (FCR/DCR) and Subject Access Requests.

To provide support to staff to ensure that they complete annual training on confidentiality and security of data, and provide training as required.

To liaise with the IT support department to resolve hardware and software issues.

Train new and existing staff as and when necessary on IT applications.

Be responsible for maintaining the Practice Website & Facebook Page; be the point of contact for patients who need help accessing the Website.

Be responsible for the resetting of email and computer passwords.

Be responsible for the management of AccuRx, TeamNet & Footfall; creating procedures and templates as necessary.

Build and run SMS Campaigns as requested by the Practice.

Run weekly Eclipse updates / monthly NHS Pathways.

Management of waiting room screens; ensuring that all slides and videos are up to date and relevant.

Perform SystmOne maintenance tasks as necessary.

Management of Open Exeter user accounts.

Run Risk Stratification reports / PCCAG queries as required.

Upload data to QOF/IIF/Ardens Dashboards as and when necessary.

Trouble shoot and solve any IT/Network/Printer problems.

Be responsible for download/upload of new software.

Operations

Assist with the production and upkeep of Practice Procedures and maintain Practice Admin Manuals & How to Guides.

Ensure that all administrative systems are running smoothly and recommend any necessary improvements.

Be responsible for maintaining practice inventory of equipment (Asset Register) and organising repair and replacement where necessary.

Procurement of IT Equipment and related equipment; project manage this and research as necessary when things need replacing / upgrading.

Organise, take minutes at QOF meetings and produce reports as necessary for clinical staff.

Finance / QOF (Quality Outcome Framework) / CQRS

To design, run searches and prepare clinical information on a monthly, quarterly /annual basis.

Support and work with the clinical team to identify areas of improvement in data quality.

Ensure Doctors are notified of patient recalls for QOF Domains as agreed by the Partners; Cancer Reviews, Depression Reviews, Heart Failure & Diabetes Education Programme.

To support the clinical team in identifying and targeting patients for assessment and treatment.

To oversee the read coding of all patient clinical documentation and information in relation to QOF.

Ensure the practice maximises income, meets deadlines and fulfils requirements with regard to the Quality and Outcomes Framework and Enhanced Services.

GMS Contract

Help manage the targets associated with GMS contract using the IT system, circulate task lists and follow up on action points.

Ensure that all relevant paperwork concerning enhanced services is returned in a timely manner.

Administration

Amend search criteria as appropriate, run search and ensure invites are sent out in a timely manner for NHS Health Checks (weekly / monthly) and any other adhoc vaccination programme that is introduced to the Practice, i.e. Flu Invitations (usually end of Aug / early Sept)

Ensure that staff manuals, practice leaflets, new patient booklet etc. are updated as and when required, and produce new ones as and when requested by the Practice Manager.

Check ETP queries and tasks for ex-employees on a weekly basis to ensure there is no back log or any tasks left outstanding.

Maintenance of Ardens, SystmOne Templates, Letters, Protocols and Pop up Alerts.

Management of Surgery Emails.

Run relevant searches as and when necessary to ensure quality of data on clinical system; Applied Patients, Pregnant Patients & Carer Report.
