Job summary

Due to relocation an opportunity has arisen for an enthusiastic, reliable and motivated person to join our very busy Reception team at our semi-rural Cotswold’s GP Practice. We take great pride in offering the highest standard of patient-centred healthcare to our patients.

You will need to be available to work Monday – Friday, 34 hours per week, arrangement of hours to be confirmed. The practice is open from 8am to 6.30pm so working pattern will include some 8am starts or 6.30pm finishes.

You will need to be flexible to cover holidays and sickness if needed.

Main duties of the job

Duties include welcoming patients and visitors to the Practice, booking appointments, dealing with patients’ enquiries on the telephone and face to face, dealing with incoming emails , online queries and paper correspondence and all other general reception/administration duties as required.

Candidates must be able to ensure a warm and professional welcome to our patients, ensuring they receive the right care at the right time, be a good communicator, demonstrate attention to detail at all times, have computer skills (all necessary training will be given) and the ability to support our GPs and other members of staff within an extremely busy environment.

You will need to observe strict confidentiality in all matters relating to the Practice and its patients.

We are co-located with another practice in a purpose built building and have 5 GP's, nursing, dispensary and admin teams.

Responsibilities:

1. The efficient use of the Practice system (SystmOne) to ensure accuracy in recording and capturing relevant patient information.

2. In line with Practice policy, be efficient in the following:

· Opening/closing procedures of the Surgery and competent use of the telephone system.

· Greeting patients in a friendly and courteous manner at all times and arranging appointments efficiently.

· Dealing with telephone calls in a polite and professional manner.

· Open the post, distributing as necessary.

· Listen and deal with any general patient queries, ensuring they are dealt with efficiently and appropriately.

· Attach all scanned documents to the appropriate patient accurately.

· Maintaining Practice filing system.

· Monitor and action all patient DNA’s according to Practice policy

· Effectively communicating with Hospitals/Consultants/Emergency Services etc.

· Generation of necessary administrative forms for new patient registrations, temporary residents, change of address of patients and efficient input into SystmOne.

· Providing GPs with hospital referral forms, including physio, x-ray, ultrasound etc. as requested.

· Be responsible for checking tidiness of general Practice areas after Surgery a.m. and p.m.

· Collection of items if required from local Hospital.

· Cover duties for other members of staff during times of absence, sickness and holidays.

· Any other task as delegated by Doctor or Practice Manager.
