This is a great opportunity to join a friendly and forward thinking Surgery. We are seeking a full time Practice Manager with excellent interpersonal, customer service and organisational skills to join our team.
Main duties of the job
The Practice Manager is responsible for the overall management and
smooth operational running of the GP practice, including ensuring appropriate
staffing, co-ordination of recruitment and rotas, liaising with the patients,
attending meetings, line management of staff and authorisation of purchases and
orders. Ensuring the practice is well maintained, co-ordinated and
professional. Financial planning and managing of the budget for the surgery,
ensuring that the practice is meeting its financial targets, and undertaking
all financial approvals, checking invoices on the systems. Responsible for the
quality of the services provided through undertaking audits, analysing
outcomes, preparing reports, presenting reports and data and liaising with all
clinical leads and Executives to ensure the practice is meeting all appropriate
standards and KPIs.

Our clinical team is made of 2 GP Partners, long term locum GP's, 2 Practice Nurses, a HCA and Pharmacy Technician. Alongside an Admin team of a Deputy Practice Manager, a Secretary and Reception team.
We also have a pool of ARRS supporting the Practice.

Management, service design and
delivery Actively ensure that the practice complies with NHS contractual
obligations in relation to patient care. Prepare and annually update the
practice development plan, and support the implementation of the aims and
objectives of safe and effective service delivery. Implementation of all
relevant Health & Safety policies and procedures Carry out audits and
inspections to ensure good Quality Assurance Management of service delivery and
performance, reporting incidents/complaints and significant events Implement
registration policies and monitor patient turnover Complaints manager:
implement an effective complaints management system GDPR lead PPG lead - liaise
with PPG to better our service delivery PCO Lead and develop our strategy
alongside GP partners Chronic disease recalls (QOF and health campaigns)-
planning and management of QOF workload HR Monitor and evaluate performance of
my administration team Support and mentor staff, both as individuals and as
team members Develop and maintain effective communication both within team and
with third parties Staff supervision & organising staff cover during
absence Pay roll: staff wages slips; HMRC payments; pensions submissions; staff
SD55 pension forms; staff P60 tax forms Staff appraisals, performance reviews,
and training. Keep up to date of changes in employment legislation as part of
the role in managing staff. Develop and implement new staff inductions,
including medical students and GPRs Maintain and update policies and procedures
IT Liaise with Walsall IT and the Black Country ICB regarding systems procurement, IT funding and
national IT development programmes. IT Governance Lead responsible for the DSP
toolkit annual submission and updating. Ensure IT data security measures,
back-up, maintenance and disaster recovery plans IT Lead and trainer for EMIS
Web - all aspects from configuration to reporting. In depth knowledge of EMIS.
Maintain the practice website IT Trainer for all software used in the practice.
Finance Invoicing: sending (medical reports/ultrasound/Our Net,
etc.); paying; invoice/remittance management, end of year balancing Submitting
claims: ES (DES & LCS) - CQRS and paper, PPA, childhood immunisations,
private, rent Budget planning: ensuring income and expenses are balanced
Monitor cash-flow - maximising income whilst reducing expenses. Liaise with
accountant, monitor, update and reconcile income and expenditure statements and
purchase/sales ledger transactions. Practice organisation Stock control:
stationary, drugs, equipment, WHT pathology, PCSE, PPE. Appointment management
and Scheduling GP Locum cover and managing IT support, EMIS training including
escalation issues: liaise with NHSPS.
