Job summary
Ensure third party medical information is entered onto the practice IT systems, accurately and in a timely manner with specific attention to the following:
- Medical Read Coding
- Summarising of records
- Receiving and processing incoming post
- Scanning information into patient records
- Document management of
A&E reports
hospital discharges
clinic letters
- Liaising with solicitors and insurance companies :
The use of digital media to provide medical records as appropriate for DWP reports, insurance reports and solicitors access to records
Raising and reconciling invoices in relation to above and any other private work
Main duties of the job
Maintain an accurate practice patient list by processing the following:
- Patient registration and deduction
- Incoming and outgoing records, including GP2GP electronic transfer
- Boundary queries
- Death administration
- Liaison with Coroners Office
- Ensure the practice complies with the requirements of the NHS Cervical Screening Programme through managing the following tasks.
Smear samples
Smear results
Smear history for new patients
Smear disclaimers
Smear re-calls and smear non-responders
Cytology failsafe letters

We are seeking to recruit an enthusiastic, reliable, highly motivated administrator with excellent customer care skills to join our existing team of administration staff. You will be responsible for working within a busy department, working together as a team to help patients, support the doctors and extended multidisciplinary team. You would be expected to work over our main site and branch surgery.
As a member of the administration team, you will have Excellent organisational skills, team working and problem-solving skills, together with in depth knowledge and experience of working with the general public with a caring approach.
As our chosen administrator you will be expected to be flexible and help with a range of duties, initially focused on scanning and coding, but with wider responsibilities such as registrations and summarising expected as you grow in to the role.
