Job summary

Woolpit Health Centre - Are you looking for a new opportunity?  We currently have vacancies for part time and full time GP Receptionist / Administrators to join our friendly and supportive team.  

Previous medical receptionist/ administrative experience is desirable but not essential as we can provide training for the right candidates.

Part time / full time positions are available for up to 37.5 hours per week.  Candidates will need to be able to work a range shifts to cover the practice opening hours from 07.15 - 19.00

Main duties of the job

The successful applicant will be part of a busy multiskilled administration team, working in fast-paced environment. The post holder will have a key role working closely with all staff [clinical and non-clinical] across the Health Centre, providing a high quality and professional service to patients, GPs and other health care professionals.

The post holder will be responsible for ensuring the smooth running of the surgeries, consultations and visits by the Doctors and making sure that enquiries from patients are dealt with efficiently and courteously. The post holder will provide administrative support, undertaking a variety of tasks to assist with the day-to-day running of the Health Centre.

This post reports to the Senior Receptionists, accountable to the Practice Manager, Administration Manager and Partners.

Job responsibilities

Duties of the successful applicant will include (this list is not exhaustive)

• To ensure that an effective and efficient reception service is provided to patients and any other visitors to the practice.

• To deal with all general enquiries and explain surgery procedures.

• Booking, amending and cancelling patient’s appointments, ensuring optimum efficiently of the appointment system.

• Answering incoming telephone calls, ensuring calls are documented and redirected accordingly.

• Receiving and recording requests for home visits and ensuring Doctors have the necessary paperwork.

• Registering new and temporary patients, deducting patients that have left the surgery.

• To enter new patient questionnaires onto the clinical system.

• To undertake various administrative actions such as scanning and uploading patient documentation as part of the workflow process, ensuring that correspondence such as reports and results are filed electronically in the correct patient’s record.

• Undertake administration tasks as allocated on rota organised by Senior Receptionist.

• Opening up/locking up of practice premises and maintaining security.

• Processing and distributing incoming and outgoing mail.

• To take messages accurately and pass on information.

• Filing and retrieving paperwork and medical records as necessary.

• To monitor daily inboxes and process digital requests.

• To provide general administrative support such as filing and photocopying and scanning.

• Inputting data and coding patient’s healthcare records as necessary.

• Resolving low level IT issues and reporting complex IT problems to the relevant organisation.

• To provide general administrative support such as filing and photocopying and scanning

• To carry out any reasonable duties requested by the Doctors, or Administration Manager.
