Job summary

We have an exciting opportunity for an enthusiastic and motivated office assistant to join our busy team. The office assistant will work along side our busy care navigation and administration teams, supporting them to ensure an efficient service is provided to our patients and the wider management and clinical teams.

This is a part time position covering 24 hours across 4 days per week.

There will be a requirement for the candidate to work across all 3 branches

Main duties of the job

The office assistant will provide efficient and timely administration support to the Operations Support Manager and busy teams in the smooth running of the practice. The main duties will include scanning, filing, photocopying and data input.

Darwin Medical Practice has a team of over 100 staff and provides care to over 23,000 patients.

The practice ethos is to provide excellent care to our patients, showing respect to both patients and our colleagues.

All teams meet regularly to discuss updates, share training and changes to processes but we also have whole practice sessions to ensure that everyone is informed about practice developments and has chance to meet others that they would not usually see.

To provide efficient and timely administrative support to the Operations Support Manager in the smooth running of the department.

Principal Accountabilities

Complete general day to day office tasks e.g. opening post, filing, photocopying and data input

Scan incoming paper documentation onto the Practice IT systems and move items into the relevant teams folder ready to be filed

Maintain and process incoming and outgoing patient Lloyd George paper records

Input new patient registrations onto the practice IT system

Maintain a sensitive approach to patient care, ensuring the maintenance of confidentiality at all times

Carry out duties as per working policies, procedures and protocols

Complete any other duties as required commensurate with the grade

The Practice is open from 8.00am until 6.30pm, with regular extended hours surgeries. It is expected that all staff will work on a rota basis, according to the needs of the service.
