Job summary

An exciting opportunity has arisen for the post of Medical Secretary. This post will provide secretarial support to all members of the clinical team in order that the practice can develop their programme of improving the quality of care for patients. The post aims to promote good working relationships with the patients and with all members of the team.

The job is 22 hours/wk on the following days:

Monday 12.00 - 17:30

Tuesday 12.00 -17:30

Wednesday Non-working day

Thursday 12.00 - 17:30

Friday 12.00 -17:30

Main duties of the job

To provide and be responsible for undertaking a wide range of secretarial duties and providing efficient administrative support to the General Practitioners and other allied healthcare professionals of the practice. To provide an efficient, accurate, quality and timely secretarial service. Duties will include but are not limited to audio-typing, copy-typing and word processing for the typing of patient referral letters, general correspondence and medical reports. The post-holder will liaise with practice team members, external agencies such as secondary care and community service providers, including the use of the electronic referral system.

About us

Rushall Medical Centre is a modern purpose-built practice with onsite parking. It is a GMS practice with approximately 15,000 patients. The practice has five partners and three salaried GP's. There is one Advanced Nurse Practitioner in addition to three Practice Pharmacists. The team has four Practice Nurses and five Healthcare Assistants. There are two Practice Managers in addition to a Claims and Reception Manager. The Administrative Team consist of approximately 18 members. We also has have a number of ARRS staff working at the practice. It is a busy but friendly practice with many patients being registered at the practice for a number of years. The practice is on a main bus route about 3 miles outside of Walsall Town Centre. We are also a training practice for GP trainees.

Job description

Job responsibilities

To undertake administrative tasks in a timely manner associated with the referral of patients and to accurately maintain the practice records of referrals including all e-referrals.

Process referrals to external agencies using the electronic referral system (ERS) and e-mail system.

Liaise with external agencies such as hospitals and community services, ensuring referrals are processed efficiently and in a timely manner

Liaise with other healthcare professionals, secretaries and administration teams with regards to coordinating patient care

Typing patient referrals, general correspondence, medical reports and any other associated documentation

Process requests for information i.e. SARS, photocopying medical records and documents, insurance and solicitors letters, DVLA, DQP, private letter and report requests from patients

Maintain an accurate record of incoming and outgoing fees for medical reports and letters

Advise patients of relevant charges for private services

Resolve problems which relate to the e-referral service including changes to place of referral and dealing with rejected referrals

Resolve a wide variety of patient queries (referrals, reports, forms, private letters etc) received by telephone, in person and in writing in a professional and courteous manner

To initiate and compose correspondence whether internal or external in a professional and timely manner

To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries

To accurately update and monitor patient records and information systems both manual and computerised

Import referrals forms onto EMIS-Web

Ensure that correct proformas are used by Clinicians and these are saved within EMIS and old ones removed

Regularly throughout the day check tasks in EMIS and action appropriately

Process tasks on a daily basis, scan and file documents on Docman 10

Check e-mails on a daily basis and process accordingly

Send communication via AccuRx

Keep up to date with changes in referral systems and new proformas

To work as a positive and supportive team member as required and providing cover when required

To assist the practice team with administrative duties as may be reasonably required: i.e. process reviews, letter writing, faxing, e-mailing, scanning, coding and auditing

Ensure up to date maintenance of both computerised and manual filing systems

To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure

Undertake administration tasks as allocated

Delivery of training and development to required practice staff

To keep up to date with practice information including policies and procedure changes

To identify areas for quality improvement, risk avoidance or development and take an active part in delivering the business objective

Ensure high levels of confidentiality and adhering to GDPR requirements at all time
