Job summary

Brockwell Park Surgery is a friendly GP practice with nearly 10,000 patients, located close to Herne Hill station. We are looking for a committed, flexible and empathetic receptionist to join our team, to provide a professional, comprehensive reception service to our patients. You will ensure that reception is run in an efficient, courteous and friendly manner and provide general administrative/I.T. support to the wider team.

Previous applicants need not apply. We currently have two part time vacancies available due to internal promotion of current staff. We are offering the below shifts, by mutual agreement and between two post holders:

Monday 12.00-18.30 and 13.00-18.30

Tuesday 07.45-13.15

Wednesday 13.00-18.30

Thursday 07.45-13.15

Friday 13.00-18.30

NB due to Covid-19, our surgery opening hours are currently 08.00-18.30. However, when we re-introduce extended hours of operation (07.00-08.00 and 18.30-19.30), the receptionists will need to be available to cover some of these shifts.

Main duties of the job

Book appointments and ensure the appointment system runs efficiently including monitoring the flow of patients.

Respond to all queries and requests for assistance from patients and other visitors in a courteous and efficient manner.

Ensure correspondence, reports, results etc are scanned into correct patient records and filed.

Use an electronic workflow dashboard to manage, direct and action enquiries into the surgery via the practice website.

Ensure confidentiality is kept at all times in line with the practice policy and The Caldicott Principles.

Explain practice arrangements and formal requirements to new patients.

The practice is led by an enthusiastic and proactive team of three GP partners who are involved on a day-to-day basis with the running of the practice, each taking a role in management and supported by a practice manager. In addition there are currently six salaried GPs, trainee doctors, two practice nurses, a pharmacist, and a team of receptionists and administrators. The surgery is a successful training practice.

We offer 25 days annual leave and 8 days bank holiday, pro rata.

Job Summary

To ensure that reception is run in an efficient, courteous and friendly manner and to provide an appropriate, clean, tidy and welcoming reception environment. The position also requires that general administrative/I.T. support is provided to partners, clinicians, operations manager, practice manager and other staff members.

Main Duties and Responsibilities

1. Book appointments and ensure the appointment system runs efficiently including monitoring the flow of patients going into consulting and treatment rooms.

2. Make new and follow up appointments for patients, doctors, nurses and other members of the primary health care team on EMIS computer system as and when required.

3. Represent the practice in a professional and courteous manner.

4. Ensure confidentiality is kept at all times in line with the practice policy and The Caldicott Principles.

5. Explain practice arrangements and formal requirements to patients.

6. Respond to all queries and requests for assistance from patients and other visitors in a courteous and efficient manner.

7. Ensure correspondence, reports, results etc are scanned into correct patient records and filed.

8. Operate the telephone system and provide relevant information.

9. Use a workflow dashboard to manage, appropriately direct and action enquiries into the surgery via the practice website.

10. Use the various computer systems to communicate with colleagues and external organisations.

11. Carry out start and end of day procedures ensuring adequate handover of any outstanding work to colleagues

12. Actively take responsibility and participate in the development of the practice and to attend weekly clinical meetings.

13. Actively learn about the wider NHS, in particular the role of the surgery within the Lambeth CCG, Federation and NHS England.

14. Participate in personal development, training and monthly practice and regular team meetings with the Operations Manager.

15. To support patients with taking their health checks for example height, weight and blood pressure in the reception area.

16. Carry out other duties as requested by the Operations Manager, Practice Manager and Partners.

17. Assist in the closing and securing of the premises at the end of the clinic shift.

18. Use practice email and IT systems in accordance with practice policies and procedures.

19. Participation when requested, in the delivery and collection of items to and from other surgeries, CCG, Hospitals and Pharmacy or any other place on practice business.

General

  1. To assist in the absence of colleagues as and when necessary.

2. To adhere to Brockwell Park Surgery policies regarding health and safety and to ensure the security of practice equipment and premises.
