Job summary

Mendip Vale Medical are looking for further Medical Secretaries to join our Yatton and St Georges teams, as we expand in our friendly and innovative practices serving over 85,000 patients within our 10 sites in North Somerset, Bristol & South Gloucester.

As a Medical Secretary you will support the clinical team with the processing of patient referrals so as they can access the appropriate service or healthcare professional in a courteous, efficient and effective way.

Main duties of the job

Working as part of the team the post-holder will pro-actively assist and complete referral administration processes ensuring patients are referred to the appropriate service or healthcare professional in a timely manner, whilst also managing the expectations of patients, their carers or guardians to provide a high standard of patient focused service.

The Medical Secretary will develop good working relationships with:

  • Patients
  • GP, nurses and other surgery staff
  • The Secretarial Team

Key Responsibilities:

  • To be a point of contact for patient queries and enquires relating to referrals, ensuring the delivery of safe and efficient responses to patient requirements.
  • Typing and processing of referrals, dealing with queries in person, by telephone and electronically.
  • Arranging of relevant appointments.
  • Checking for tasks, completing where possible and passing other tasks to relevant person.
  • Control all patient files and related admin to required quality standards and in line with information governance and DPA regulations.
  • Maintain accurate records.

  • Ability to prioritise tasks and manage competing demands on time, ensuring all deadlines are met.
  • Able to apply tact and sensitivity to establish trust and confidence.

Qualifications

Essential

  • GCSE in English and Maths at Grade C or above, or equivalent experience.
  • RSA Typing qualification or suitable typing skills
  • Evidence of continued learning/personal development in relevant field

Desirable

  • NVQ3 in Administration or equivalent or working towards

Experience

Essential

  • Understanding of medical terminology and basic knowledge of anatomy and physiology.
  • Robust understanding of Word, Excel, email and databases

Desirable

  • Experience of working within an NHS environment relevant to accurate recording of data.
  • Experience of using GP clinical systems e.g. EMIS
