Job summary

We are looking for a reliable, well-organised individual with strong communication skills to join our busy GP practice in Rochdale as a Medical Receptionist. This is a key role at the front of the practice where you'll be responsible for supporting patients and ensuring the smooth running of daily operations.

You will be the first point of contact for patients, whether in person or over the phone, so professionalism, accuracy, and a calm manner are essential. If you work well under pressure, have good IT skills, and enjoy working as part of a team, this could be a great opportunity for you.

You will be joining an experienced and supportive team, with full training provided. The role offers job stability, regular hours, and the chance to contribute to your local NHS service.

Shifts allocated will be a mixture of early and lates from 8am to 6:30pm. The role is full time over 5 days.

The Medical Receptionist plays a vital role in the day-to-day running of the practice. Key responsibilities include:

  • Greeting and assisting patients in person and by phone Booking, amending, and cancelling appointments using EMIS Web
  • Processing repeat prescription requests and liaising with pharmacies
  • Registering new patients and updating patient records accurately
  • Managing incoming and outgoing communications (calls, emails, post)
  • Scanning, coding, and filing clinical documents
  • Assisting with patient queries and preparing documents for the clinical team
  • Maintaining patient confidentiality in line with NHS guidelines
  • Signposting patients to appropriate services when necessary
  • Providing cover for colleagues during absences and supporting general operations.
  • You will need to be confident using IT systems, able to multitask, and comfortable working in a busy environment

We are a friendly and busy GP surgery looking for a reliable and hardworking individual to join our team.

The Practice is a GMS practice providing medical services to a population of approximately 13,800 patients. We work from purpose built premises close to the centre of Rochdale with a friendly, supportive clinical and administrative team. We are a member of the Canalside Primary Care Network.

Job responsibilities

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Undertake a variety of administrative duties to assist in the smooth running of the practice.

Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies

Duties and responsibilities:

The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the senior receptionist/practice manager, dependent on current and evolving practice workload and staffing levels.

  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice either face to face on reception or over the telephone.
  • Deal with all general enquiries either in person or via the telephone
  • Process appointment requests for today/future appointments from patients by telephone and in person in line with practice protocols for the management of routine and urgent appointment requests
  • Care navigation of patients to the most appropriate health care service or professional where in line with practice protocols.
  • Provide cover for the reception desk
  • Deal with visit requests in line with practice procedures; relay home visit request information in a clear, concise and accurate manner to the appropriate member of staff, ensuring careful recording of all relevant details.
  • Receive and make telephone calls as required and take messages when required; when taking messages ensure accuracy of detail and ensure prompt delivery to the most appropriate person/GP
  • To process repeat prescription requests in accordance with practice guidelines
  • Charging patients the appropriate amount for private work and providing a receipt to the patient
  • To have a thorough knowledge of all practice procedures
  • To work in accordance of written protocols
