Job summary

Weaverham Surgery

Part-time Medical Receptionist required for busy but friendly General Practice Team.

The role will require an ability to Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Main duties of the job

  • Excellent IT skills

  • Ensure that patients without appointments but need urgent attention are seen.
  • Be able to cover all reception position as necessary
  • Respond to all queries and requests for assistance from patients, practice team, hospital and visitors or refer to appropriate person
  • Book requests for Ambulance transport and ensure all data is entered on to patients medical record.
  • Ensure that all correspondence, reports etc are filed in correct record and all relevant data recorded onto the computer system.
  • Receive and make telephone calls as required. Divert calls and take messages as appropriate.
  • Delegated tasks or duties from the Operations Manager or Practice Manager considered applicable to the post.Eg. Completing private work when requested, gaining and learning new skills within other areas of the surgery.
  • Any other reasonable task at the request of the Operations Manager or Practice manager.

We have three GP partners, two salaried GP's, two practice nurses, health care assistant, Practice Manager, Operations Manager and 11 members of the admin team.

We currently have 7283 patients.

Job description

Job responsibilities

  • Book appointments and recalls ensuring sufficient information is recorded to retrieve medical record. Either manual or computerised.
  • Ensure that patients without appointments but need urgent attention are seen.
  • Explain practice arrangements and formal requirements to new patients and anybody wanting to be seen temporarily and complete and check relevant paperwork.
  • Respond to all requests for assistance from patients and visitors.
  • Enter requests for home visits onto computerised booking system and complete comprehensive notes on Patients records stating time received and other relevant information.
  • Book requests for Ambulance transport and ensure all data is entered on to patients medical record.
  • Ensure the reception and waiting areas are kept neat and tidy. All leaflet racks kept stocked and up to date.
  • Ensure that all correspondence, reports etc are filed in correct record and all

relevant data recorded onto the computer system.

  • Receive and make telephone calls as required. Divert calls and take messages as appropriate.
  • Complete Tasks and Docman Workflow sent to Reception from the Doctors.
  • Ensuring logged into Cisco Finesse each morning and remains logged in until end of shift.
  • Ensure that requests for repeat prescriptions are given to the correct department within 1 hour of reception receiving the request from the patient. The Prescription Team then have 48 hours to action and produce the prescription.
  • Start and End of Day procedures followed as per Reception Rota.
  • Delegated tasks or duties from the Operations Manager or Practice Manager considered applicable to the post.Eg. Completing private work when requested, gaining and learning new skills within other areas of the surgery.

  • Verbal communication- both in person and on the telephone

  • Certificates in computer skills ECDL
