Candidate must work as part of a team and be able to remain calm and professional at all times. This is a busy and demanding role.
We offer a full training package.
The hours of work are as follows
Tuesday 1.30pm - 6.30pm
Thursday 7.45 am - 1.15pm
Friday 1.15pm - 6.45pm
IMPORTANT INFORMATION - The ideal candidate will be required to cover holiday, sickness and training and will need to be available during the following core hours (Mon - Fri 7.45am - 6.54pm)

Main duties of the job
Welcome patients and guests to the surgery in a professional manner
Book appointments (telephone and face to face)
Answer queries
Respond to emails
Take and relay concise messages to other staff members
Ensure documents from patients are completed fully
Liaise with all departments within the surgery
Action blood test forms, prescriptions and registration forms as and when required
Ensure that the waiting areas are tidy. Open and Lock the surgery at the beginning/end of the day
Undertake any adhoc administration tasks as required.
The ideal candidate should have good general knowledge, good IT skills (EMIS Web advantageous), good verbal and written communication skills, be able to multi-task, have a calm approach to stressful situations, be a logical thinker, pay attention to detail at all times and have a commitment to the role

Reception Duties:
- Welcome
patients to the Practice in a friendly professional manner
- Receive
and direct patients in a friendly manner, marking their attendance on the
computer
- Receive
and direct visitors to the surgery in a friendly manner, ensuring that
they sign visitors book on arrival and when they leave
- Book
appointments taken over the telephone into the relevant slots
- Answer
the telephone within five rings and deal with the call appropriately
- Take and
record messages appropriately, ensuring that these are initialed and dated
- Ensure
visits are dealt with promptly and according to practice procedures, note the
time the visit is requested and record in the visit book
- Take and
prepare repeat prescriptions for signature when required
- Pull off
prescription requests from the email system and print off where
appropriate
- Action
all surgery emails appropriately and in a timely manner
- Photocopy
forms used by reception as and when required
- Inform
Practice Manager if you are aware of stationery supplies running low
- Open,
distribute and file mail in a timely manner, date stamping all incoming
mail
- Print and
distribute patient blood test forms as and when required
- File
prescriptions in chronological order
- Ensure patients attending cytology appointments have a cytology
form completed and that this is available for the relevant clinician in a
timely manner
- Ensure that the telephones are transferred to the OOH as and
when appropriate
- Report any matters affecting health and safety to the Practice
Manager
- Acknowledge messages on Slack (internal messaging app) and
action as required
- Ensure patient consents on completed prior to passing requests
onto the secretarial team
Housekeeping duties:
- Ensure the consulting rooms are tidy and clean
- Lock up and secure the building when last to leave the
building, ensuring that all appliances have been switched off
- Tidy and sort out magazines, newsletters, patient information
slips etc in the waiting areas in the waiting area
- At the end of your evening
shift close the Surgery areas and switch off any lights, TVs and signing
in screen etc. Close blinds, lock
cabinets and internal doors as appropriate. Ensure that all computers are switched
off completely.
Data
Input Clerk Duties:
- Monitor
Cytology data and/or childhood immunisations via the Open Exeter system.
Send out patient letters as and when appropriate
- Undertake
any other adhoc data entry duties that may be required
Education:
- Attend training sessions appropriate to your post, as
instructed by the Practice Manager
General:
- Participate in annual reviews and work to achieve agreed
personal objectives
- Comply with health and safety legislation, promoting high
standards and acting immediately on hazards or unsafe practices in
conjunction with other staff and the Practice Manager
- Provide cover for the work of colleagues during periods of
absence or peak workloads
- Ensure that the Practice Standards are maintained and monitored
to improve the quality and total care to all who come into contact with
services provided by Woodside Medical Centre
- Undertake any other tasks commensurate within the nature and
grade of the post as allocated by the Practice Manager
