Job summary

An exciting opportunity has arisen for a Reception Manager based at Longview Medical Centre, Huyton. The post-holder will be responsible for overseeing the operational management of the reception team, ensuring all reception duties are performed effectively and to the required standards, meeting the objectives of the Practice. As the senior care navigator, you will assist the team to successfully care navigate patients. The vacancy is for 30 hours per week, Monday to Friday between 8:00 - 6:30.

Main duties of the job

The Reception Manager is responsible for:

Overseeing the administration and support operations of the practice, ensuring staff achieve their primary responsibilities.

Senior care navigation, ensuring effective care navigation and access is provided for patients.

Line managing all reception staff. Admin rota's Supporting staff development, providing guidance and direction, ensuring staff are up to date with mandatory training. Coordinating the provision of reception staff, ensuring sufficient cover is provided for periods of leave and other staff absences.

Complete tasks from clinicians in a timely manner for blood tests and radiology results.

Oversee coding letters, insurance claims. Ordering stationery and clinical supplies

Co-ordinate Flu Clinics.

Following safeguarding procedures and policies.

Manage the recording of new patient registrations.

Manage PCSE ingoing and outgoing Lloyd George files.

Acting as a focal point for the practice managing requests from external organisations.

Updating the appointment system

Providing initial guidance and advice to patients.

Managing all deliveries to the practice, ensuring adherence to the cold chain policy.

Acting as building fire marshal, ensuring evacuation lists are current and that the visitors log is used appropriately.

Partake in audit as directed by the practice manager.

Assist with QOF targets

We are a friendly and well established practice, we comprise of 2 GPs, 1 Salaried GP, Practice Nurse, Advanced Nurse Prescriber, Pharmacist, First Contact Practitioner, Paramedic, and a team of Administrative staff with a list size of 4000. We are a training practice and are involved training FY2 Doctors and GP Registrars.

Job responsibilities

The post-holder will be responsible for the day to day supervision and management of all reception staff and associated functions including the repeat prescribing and the clinical systems, ensuring all functions are carried out in accordance with agreed procedures, protocols and time-scales, reporting to the practice manager as necessary and appropriate.

AREAS OF RESPONSIBILITY

First point of contact for reception / nurse staff queries.

  1. Cover Reception Monday Friday 8:00 6:30
  2. Rotas, availability, changes

Patient services

  1. Ensure adequate staffing to cover reception
  2. Deal with referral issues
    1. RMS Rejected Referrals
    2. RMS issues with referral not being sent
  3. Manage arrangement of appointments for Annual Reviews
  4. Organise flu clinics, co-ordinate staffing
  5. Ensure systems are in place to
    1. manage the recording new patient registrations
    2. manage PCSE ingoing and outgoing Lloyd George Files
    3. arrange internal transfer of LG records for incoming patients complete spreadsheet
    4. arrange LG copying of new patient Lloyd George Records complete spreadsheet
  6. Deal with enquiries from patients reporting back to Practice Manager
