Job summary

We are looking for a experienced medical secretary to join our friendly administration team.

As medical secretary you will be responsible for typing of referral letters, management of the choose and book system, manage and maintain the ERS work lists, chasing hospital results, attendance and minute taking of clinical meetings.

    Job description

    Job responsibilities

    • Typing of referral letters from the Doctors to Consultants and Specialists at NHS Hospitals, Private Hospitals and Community Clinics within the agreed turnaround time as per practice protocols.
    • Management of the E-RS (Choose & Book) system; generating UBRNs and dealing with all related queries. Ensure Doctors are informed of any new services available.
    • Manage and maintain the ERS Worklists; provide audits as appropriate to ensure an effective turnaround of referrals and submissions. Attend meetings/training sessions as required.
    • Typing of all non-hospital letters as required.
    • Ensure the practice is using up to date referral forms, acquiring all revised pro-forma as necessary, and converting to EMIS templates where possible, using read codes for the purpose of extracting data from the computer.
    • Chasing hospital results if deemed necessary by a GP or clinician.
    • Processing and actioning Workflow Tasks on a daily basis.
    • To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
    • Attendance and minute taking at Practice Clinical Meetings
    • To facilitate external calls between GPs and fellow clinicians.
    • Provide Administrative Support for Enhanced Services
    • To assist the Practice Operations Manager and Practice Business Manager with all clerical and administrative duties as and when required.
    • To provide secretarial support for colleagues as and when required, including cover for annual leave and sickness.
    • Provide general guidance and support to enable staff to perform their duties effectively.

    • Provide support to resolve any problems faced by the team or between team members themselves.
