Willerby & Swanland Surgery has a fantastic opportunity for a medical secretary to join our team. It is a rarity to be able to offer this position at the surgery but due to retirement of a long standing staff member we are looking to recruit.
The hours will be part time of 17 per week , but there is a requirement to cover holidays and sickness absence so there is a need for flexibility in this role.
We are passionate about developing and delivering excellent quality services to meet the needs of our patients and are looking for someone ideally experienced in working in Primary Care.
Main duties of the job
To be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the whole team.
Duties can include, but are not limited to,
the processing of information, liaising with multidisciplinary team members and
external agencies such as secondary care and community service providers in
accordance with current policies. Processing patient referrals using the
electronic referral service (ERS).

Willerby and Swanland Surgery have recently located into a wonderful, purpose-built GP practice in Anlaby. We have an expanding patient list, which currently stands at over 10600. Over the next 3 years, this is expected to increase even further to 12500.
This role would ideally suit an existing secretary or someone with extensive administration experience within a GP surgery and who is looking for their next development opportunity.

- To provide an efficient audio, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner.
- To take home visit appointments requests and pass to the Doctor as required.
- Dealing with general enquiries from patients regarding referrals and keeping the e-referral system up to date.
- To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
- To retrieve medical records and assist the compiling of medical/insurance records for the Doctor.
- Liaise with external agencies such as hospitals and community services, and ensure referrals are processed efficiently.
- Accurately file patient records and correspondence in patient medical records.
- To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
- To maintain the computer clinic system in an accurate and secure manner.
- To provide cover for members of the secretarial team during periods of sickness and annual leave on a daily basis.
