Job summary

This is a varied and interesting role providing business and administrative support to the practice management team in various operational functions of our busy medical practice. You will need to be a pro-active worker, with good listening and communication skills and enjoy having varied and contrasting duties throughout the practice.

Previous experience of Human Resources and working in the NHS would be an advantage although not essential.

Main duties of the job

This role involves various administrative support functions which include:

Recruitment and training administration, patient and staff communications, maintaining and monitoring practice HR policy and procedures, in -house HR intranet and practice phone system, and staff records. There will also be a requirement to support the Practice Manager and management team in administrative procedures.

To provide business and administrative support to the various operational functions of the practice. These include:

Recruitment and training administration, patient and staff communications, practice HR policies and procedures, and maintaining staff records. There will also be a requirement to support the Practice Manager with various practice administrative procedures.

Mission Statement

The Partners and staff wish to retain the traditional virtues of a family doctor-based health service. We wish to continue providing a personal family doctor service, we will continue to do home visits where appropriate and are happy to discuss any aspect of your condition and treatment by appointment. We intend to continue to keep abreast of developments in the treatment and management of health problems and will refer you for consultant opinion and treatment whenever is appropriate. Although there are, at present, a rapid series of changes in General Practice, which are increasing the pressure on us, we will all remain committed to the pursuit of excellence. To this end we are always pleased to receive suggestions for improving our services.

Induction Training

On arrival at the practice all personnel are to complete a practice induction programme; this is managed by the Operations Manager.

Learning and Development

The effective use of training and development is fundamental in ensuring that all staff are equipped with the appropriate skills, knowledge, attitude and competences to perform their role. All staff will be required to partake and complete mandatory training as directed by the training coordinator, as well as participating in the practice training programme. Staff will also be permitted (subject to approval) to undertake external training courses which will enhance their knowledge and skills, progress their career and ultimately, enable them to improve processes and service delivery.

Collaborative Working

All staff are to recognise the significance of collaborative working. Teamwork is essential in multidisciplinary environments. Effective communication is essential, and all staff must ensure they communicate in a manner which enables the sharing of information in an appropriate manner.

Service Delivery

Staff at Gillingham Medical Practice must adhere to the information contained with practice policies and regional directives, ensuring protocols are adhered to at all times. Staff will be given detailed information during the induction process regarding policy and procedure.

Security

The security of the practice is the responsibility of all personnel. Staff must ensure they remain vigilant at all times and report any suspicious activity immediately to their line manager. Under no circumstances are staff to share the codes for the door locks to anyone and are to ensure that restricted areas remain effectively secured.
