Job responsibilities
Administration
- To have a thorough knowledge of all practice procedures
- To work in accordance of written protocols
- Pulling/filing notes for surgeries and updating as necessary
- Email and photocopy as requested
- Sending letters to patients or other organisations
- Updating tasks sent from or to GPs, nurses and administration
team.
Reception
- Receiving patients, consulting with members of practice team
- Handing completed repeat prescriptions to patient and checking
names, address and date of birth.
- Documenting any controlled drugs or psychotic medications to the
patients records on collection
- Receiving all samples in the sample bin for clinical team
- Enabling patients for the on-line services, patient partner and
enhanced services
- Cover all reception positions as necessary
Appointments
- Process appointment requests for today/future appointments from
patients by telephone and in person through the AskMyGP appointment
system.
This involves sorting and assigning requests from patients online to
the appropriate clinician.
- Assess patients for AskMyGp system either face to face or by
telephone and defer patients to member of clinical team
- Cancellation of clinics and reappointing
- To process the Practice mobile phone to allow patients to cancel
appointments by texts
Computer
- Registrations of new patients computer data entry and medical
records
- Address any urgent information directly to GP through AskMyGp
using the urgent flagged system.
- Scanning of all letters that are clinical and nonclinical in to
patients records and forwarding if needed to appropriate clinician or
dispensary if medication is required or needs updating.
- Process patients changes of address computer data and medical
records (have knowledge of practice area)
- Process repeat prescription requests in accordance with practice
guidelines
- INR information to be entered correctly on to patients card and
computer record and patient to be contacted with dosage.
Call
Handling
- Have working knowledge of telephone system, during and after hours
- To answer phone in a positive manner
- To answer emergency telephone efficiently
- Cover call centre answering phones when necessary for sickness or
annual leave
Other
Tasks
- Ensure all confidential paperwork is filed away at the end of each
working day as per clear desk policy.
- All prescriptions to be locked away in reception cupboard at the
end of each working day
- Ensure building security have thorough knowledge of
doors/windows/alarm
- Any other tasks allocated by managers, clinical and non-clinical
staff.
