Job summary

Quay Lane Surgery is a GMS rural Dispensing Practice located in the village of St. Germans in East Cornwall, dispensing to 97% of our patient list size.

We are looking for a friendly, hands-on, hardworking, and enthusiastic Dispensary Manager to lead our team of dispensers, getting involved in the day-to-day activities of dispensing, as well as leading, supporting and managing the team in accordance with policies and procedures and striving for continuous development within the team.

Main duties of the job

The main responsibilities of the role are: - Manage and oversee the daily operations of the dispensary - Ensure compliance with all applicable laws and CQC regulations - Lead, train and supervise dispensary staff, including scheduling rota's, organising cover for staff holiday/sickness and performing annual appraisals - Maintain stock levels, ensuring adequate levels are held, minimising wastage and expenditure - Provide exceptional customer service and address customer concerns or inquiries - Develop and implement policies and procedures to optimize dispensary operations - Collaborate with vendors to ensure timely product delivery and quality control

- Perform annual DSQS audits and maintain SOPS - Stay updated on industry trends, products, and regulations

A rare opportunity to join the amazing team in Quay Lane Surgery and to work on the coast in beautiful South East Cornwall.

We are a friendly GMS, Dispensing Practice based in the historic village of St Germans with a branch surgery in the coastal village of Downderry. We are in a beautiful rural setting but only 20 minutes from Plymouth with excellent rail and road links.

Our clinical team is composed of 2 Partners, 3 Salaried GPs, Practice Nurse, 2 HCAs, Extended Scope First Contact Physiotherapist, Clinical Pharmacist and active Social Prescriber.

We are part of the forward thinking and dynamic East Cornwall PCN.

We use EMIS Web Clinical System and Dispense-IT within our Dispensary.

We are looking for an enthusiastic and friendly Dispensary Manager to join our team.

HOURS: 30 to 35 HRS PER WEEK

Job summary:

To ensure the provision of quick, efficient and accurate dispensing of medication to the patients of Quay Lane Surgery and to ensure effective financial control of the dispensary. Key tasks:

Managing the dispensary staff

Attendance at, and input to, partners meetings as appropriate

Monthly checking of the drug tariff for price and category changes, checking MIMS for new or discontinued drugs

In association with the nominated partner, maintain and update the computerised Drug Directory

Sorting prescriptions, checking endorsements, preparing forms and submitting prescriptions monthly to the NHS Prescription Services; preparing vaccine list; dealing with prescriptions returned by the NHS Prescription Services

Job responsibilities:

Staff management

Organising dispensary staff rotas and ensuring adequate staff cover at all times

Training dispensary staff, including encouraging and organising attendance on relevant recognised courses (B. Tec and other)

Appraising dispensary staff

Assisting the practice manager with the recruitment of dispensary staff

Assisting the practice manager with disciplining dispensary staff

Purchasing and stock control

Ad hoc daily ordering of stock

Weekly ordering of generic stock

Weekly checking of DDA stock and ordering as necessary

Ensuring goods are correctly delivered

Checking dispensary invoices against delivery notes and recording items for bonusing

Passing such invoices for payment

Checking monthly statements

Checking credit notes against returns and chasing outstanding credits

Maintain adequate stocks at main and branch surgeries, ensuring timely stock rotation

Annual stock takes in dispensary, treatment room, CD cupboard and consulting rooms and the branch surgery.

List and price stock

Box and price out of date stock

Prepare stock values for end of year accounts

Drug company representatives

Ad hoc liaison with drug company representatives

Meet regularly with drug company representatives in order to ensure the best possible discount levels

Analysis of invoices for bonus stock and ensuring bonus stock is received

Prescriptions and prescription moneys

Daily: check prescriptions for signature/endorsements and sort into paid/unpaid by doctor

Weekly: submitting all unsigned prescriptions to the partners; generating nurses prescriptions; sorting post-dated prescriptions

Daily: cashing up prescription moneys, balancing and recording

Weekly: submitting prescription moneys to the practice manager for banking, ensuring sufficient change is available

Monthly: calculating number and value of prescription charges and checking against health authority statements

Destruction of drugs

Daily: dealing with returned medication from patients

Monthly: dealing with uncollected medication

Quarterly: dealing with returned controlled drugs from patients for destruction

Six monthly: dealing with out-of-date controlled drugs with the appropriate officer from the Health Authority for destruction

Dispensing

Overseeing/checking colleagues dispensing

Taking prescription repeats

Dispensing acute prescriptions for practices

Generating monthly repeat prescriptions for the practice, liaising with the relevant partners over any necessary changes in medication

Collecting prescription charges from patients

Dispensing black-listed medication, pricing and recording

Dispensing private patients prescriptions, pricing and entering on account cards, calculating private patients monthly accounts (including consultations) and submitting invoices

Removing out of date repeats from patients computerised repeat prescription lists

Re-batching drugs for repeat prescriptions

Preparing MDS packs

Arranging home deliveries of medications and liaising with delivery team
